Receipt chaser
Missing receipts for card charges, collected from whoever holds the card.
The receipt chaser finds company-card charges with no receipt and asks the person who made them, once a week, until it's in.
Where charges come from
- QuickBooks: credit card purchases with no attachment, from 30 days before you turned the agent on. A receipt attached in QuickBooks closes the charge here.
- Card statement: upload the transactions export from your card's website (CSV or Excel). Payments and refunds are skipped automatically. See QuickBooks and spreadsheets.
- Charges under your minimum (default $25, change it in the receipt settings on your page) are ignored. The same charge from both sources is only chased once.
Whose card is whose
Under Whose card is whose, give each card a name and email (for example Amex …1004 → mike@yourbusiness.com). Charges on cards you haven't assigned come to you.
The Monday email
Each Monday morning, each person gets one email listing their charges, each with an upload link (a phone photo is enough), or they can reply with the receipts attached. Up to 3 weekly asks, then the charge is listed as missing for you.
Matching
With AI credits, each receipt is read (merchant, date, total). If it clearly matches one charge (same total, date within 4 days), it's filed automatically. Anything unclear waits under Receipts to check for you to pick the charge or reject it. A reply like "that was personal" comes to you to mark No receipt needed.
Your bookkeeper
Add your bookkeeper's email in the receipt settings. On the 1st of each month they get a summary and a link to download every receipt for the month (a ZIP with a spreadsheet index; the link works for 45 days). You can download any month yourself from your page. Nothing is written to QuickBooks.
