Quote follow-up

Friendly check-ins on the quotes you've sent, until the customer replies.

The quote follow-up checks in on quotes and estimates you've sent, so jobs don't slip away because nobody followed up.

When it emails

2, 5 and 12 days after the quote was sent, in your voice, during business hours. Each check-in includes the quote number, total and description (filled in by code). A quote imported late starts at the check-in whose day has come; quotes past their expiration date, or more than 2 weeks old, aren't chased.

When the customer replies

Any reply stops the follow-ups for that customer and comes straight to you: "over to you". Reply to them yourself. STOP unsubscribes them. Out-of-office replies just pause it for 2 days.

Getting quotes in

  • QuickBooks: estimates that are pending and were emailed from QuickBooks sync automatically. Accepted, declined or closed ones close here too.
  • Spreadsheet: upload a list of quotes you've sent and tick "I sent these quotes". Customer email and sent date are required; quote number, name, company, total, description and expiration date are used when present. See QuickBooks and spreadsheets.

Quote customers can be homeowners, so you don't need to confirm they're businesses. Every email has your mailing address and an unsubscribe link.

Your buttons

  • Won / Lost: closes the quote. Won quotes (and their value) show on your page and in the Monday email.
  • Don't chase: stops follow-ups for that quote.
  • Keep following up: on a quote the customer replied to, resumes the check-ins.

What it never does

No pressure: no deadlines, discounts, "last chance" or expiry talk. Drafts that try are replaced with a fixed template.
