Invoice chaser
Polite reminders for overdue invoices, replies understood, results every week.
The invoice chaser follows up on your overdue invoices so you don't have to. It's for invoices to businesses only.
When it emails
- Day 1 after the due date: a friendly reminder.
- Day 7: a polite follow-up asking when it'll be paid.
- Day 14: a firmer, still courteous note.
- Day 21: it stops and hands the invoice to you to decide what's next.
Several overdue invoices for the same customer go out as one statement. Emails only go out during your business hours, at most 3 a week per customer.
What it does with replies
- "Already paid" or "check's in the mail": reminders pause for 7 days. Mark it paid (or re-import) when the money arrives.
- "We'll pay on the 30th": reminders pause until 2 days after that date.
- A dispute, a question, or anything unclear: it stops and hands it to you.
- STOP or unsubscribe: that customer never hears from us again.
You get a copy of every reply, with what the agent did about it.
Getting invoices in
Connect QuickBooks and open invoices sync every few hours; invoices paid there close here automatically. Or upload your open-invoice list (CSV or Excel). See QuickBooks and spreadsheets.
Confirming customers are businesses
Before an invoice is chased, you confirm its customer is a business (not an individual person). New customers show up under Confirm these are businesses in the invoice section.
What it never does
It never threatens, never mentions fees, interest, collections or legal action, and never writes amounts or dates itself: those are filled in by code from your data. A draft that breaks these rules is thrown away and a fixed template is used.
Your buttons
- Mark paid: stops reminders for that invoice.
- Keep chasing: on a handed-off invoice, sends one more reminder.
- Pause: stops the whole agent until you resume.
