Paperwork chaser
Certificates of insurance and licenses from your subs and vendors, checked and kept current.
The paperwork chaser collects certificates of insurance (COIs) and, if you want, business licenses from your subcontractors and vendors, checks them against your requirements, and asks for renewals before they expire.
1. Your checklist
Set what a certificate must show: general liability per occurrence and aggregate, auto, umbrella, workers' comp, additional insured, waiver of subrogation, and optionally a license. You can have different checklists per vendor type (for example "Subcontractor" and "Supplier").
2. Your vendor list
Import a CSV or Excel list: company and email are required; contact name, insurance broker email and vendor type are optional. When a broker email is given, requests go to the broker with the vendor copied.
3. Requests and renewals
- A missing document is requested right away, again after 4 days and again after 7, then handed to you.
- A document on file gets renewal requests 30, 14 and 7 days before it expires; if it lapses, you're told.
- Vendors upload through a link in the email (PDF, PNG or JPEG) or reply with the file attached.
4. You confirm every document
With AI credits, each certificate is read automatically (coverages, limits, dates, additional insured, holder) and checked against your checklist: matches your checklist or needs review. Policy numbers are never kept. Nothing is accepted automatically: you accept it (with its expiry date) or reject it with a note that goes into the next request. No W-9s or tax IDs, ever.
Your buttons
- Turn off / Turn on a vendor: stops or restarts requests.
- Upload for them: add a document you received another way.
- Send another request: on a handed-off request.
